Job Description

Our innovative and growing company is looking to fill the role of Technical Secretary. Please review the list of responsibilities and qualifications. While this is our ideal list, we will consider candidates that do not necessarily have all of the qualifications, but have sufficient experience and talent.

The role of the Technical Secretary is to actively support the management of projects, key clients, partners and a wide variety of other business initiatives.

Roles & Key Responsibilities:
• Ability to prepare and manage Saudi Aramco Pre-Qualification Questionnaire.
• Ability to prepare and manage Saudi Aramco Safety & Project Pre-Qualification.
• Meet the technical personals like QA/QC Managers, Engineers and document controllers of the clients to gather information related to Aramco PQ Questionnaire.
• May interface with clients, contractors and joint venture partners at a senior management level.
• Provide full secretarial and admin support to the project team and department to ensure the smooth running of the department operations.
• Provide support to Project Managers in the preparation and compilation of various project documents such as design, tender and technical documents/reports and specification etc.
• Responsible for document control: establish and maintain the project filing in accordance with the Quality Management System.
• Take minutes of meeting and maintain records for the operations and project team.
• Develop and maintain document control processes for the efficient management.
• Perform data-entry, recording, printing and filing duties.
• Undertake any ad-hoc admin projects/duties as required.
• Coordinates and schedules appointment and travel plans to meet our new customers.
• Coordinates with our new customers for control of all technical documents (reports, procedures, drawings, specifications, Saudi Aramco Pre-Qualification Questionnaire).
• The position requires a high degree of responsibility, discretion and confidentiality.

• Experience in Saudi Aramco PQ documentation and similar role preferably in Projects/Oil & Gas Industry.
• Bachelor Degree with certifications in Secretarial studies.
• Valid Saudi Arabian Driving License.
• Willingness to travel exclusively around Saudi Arabia.
• Good knowledge and experience in organizing meeting with the clients and technical personals.
• Professional and pleasant personality with good written and verbal communication and interpersonal skills.
• Proactive, take initiative and well organized.
• Able to work fast under pressure.
• Mature, with an attention to detail and highly resourceful.
• Ability to multi-task and work independently as well as in a team.
• Professional, confident, courteous and helpful manner.
• Punctual and reliable.
• Ability to manage and priorities tasks and time efficiently.

• Specialist knowledge:

Minimum 3 years’ experience in Project Administration or Technical Secretary.
Excellent communication skills in written and spoken English.
Excellent typing speed and accuracy in typing.
Excellent knowledge Microsoft office software.

Preferably Degree qualified.
Experience in consultancy / construction firm is advantageous.
Knowledge of project processes desirable.
Ability to liaise with a wide variety of staff and clients at all levels.
Able to act on own initiative and operate in a proactive way.
Good attitude to customer service.
Ability to multi-task and work independently as well as in a team.

Qualifications Required:
• Min GCE ‘A’ level or Diploma in Business Administration with certifications in Secretarial studies.
• Must have at least a secondary education in Office Management.
• Proficient in MS Office applications (Excel, Words and PowerPoint) is a must and experience in using SAP software is advantageous.
• Has working knowledge and experience of using Microsoft SharePoint, including setting up of new libraries and lists.
